As the first point of contact, you’ll play a vital role in creating a welcoming, supportive environment for our patients and whānau, ensuring the smooth running of our clinic’s front desk and contributing directly to the exceptional care we provide.

Key Responsibilities
You will be the welcoming face and the organisational heart of our clinic. Your day will involve:
- Providing a warm, culturally sensitive, and professional welcome to all patients, families, and visitors.
- Efficiently managing patient appointments, recalls, and follow-ups using our clinical management systems (e.g., MedTech 32 Evolution).
- Handling financial transactions, processing claims, and performing daily banking reconciliations with accuracy.
- Maintaining meticulous and confidential patient records.
- Supporting the clinical team with administrative tasks and assisting in the coordination of daily clinic operations.
- Helping to train other team members on reception systems and procedures.
- Upholding all health, safety, and privacy regulations to ensure a secure and efficient practice environment.
Qualifications
We are looking for an organised and empathetic individual who values community.
What You’ll Bring:
- Experience in a reception, administration, or medical healthcare setting.
- Outstanding customer service skills with a natural ability to build rapport and communicate clearly.
- Strong organisational and time-management abilities.
- Proficiency in Microsoft Word, FileMaker, and experience with clinical booking software.
- A high level of cultural competence, with an understanding of Pacific values and protocols. Proficiency in a Pacific language is a valuable asset.
- Keen attention to detail, especially for financial and administrative tasks.
Please Note: This is a full-time, permanent position. Applicants must hold New Zealand Citizenship or Permanent Residency, as we are unable to support visa sponsorship.
